The Role
The Chatterbots team is eagerly awaiting the arrival of a new Clinic Administrator at our beautiful, newly fitted clinic in Gordon. As the friendly face and welcoming voice of our practice (both in-person and over the phone), you'll be instrumental in delivering high-quality service to our clients, practitioners, and stakeholders.
Position: Permanent Part-time or Casual
Location: Chatterbots Clinic at 924 Pacific Highway, Gordon
Hours: 9am - 5pm, 2 - 3 days/week (days to be negotiated)
Remuneration: Competitive; variable based on experience
Duties Include
Greeting and assisting clients warmly and helpfully.
Promptly answering phones/emails and prioritizing tasks.
Scheduling appointments and managing diaries and resources through our practice management software
Assisting with client bookings.
Supporting our busy team of 7 therapists with a range of administrative tasks
Handling administrative duties like invoicing, debt collection, reporting, and auditing.
Ensuring accuracy in patient accounts.
Promoting our brand and managing clinic partnerships.
Light housekeeping to ensure our clinic is clean and tidy at all times
Additional Duties May Include
Engaging in marketing and social media (termly newsletters, social media content creation, website updates, blog editing).
Local area marketing (organizing events, connecting with local groups).
About You
To excel in this role, you will have a positive attitude, possess strong interpersonal skills, and have a passion for delivering exceptional customer service. You’re highly organized with strong attention to detail, love team environments, and bring a friendly, genuine passion to your work.
You will be able to demonstrate:
At least 2 years prior experience in a similar role. This would ideally have been gained in a Healthcare / Human Services setting, however other relevant experience will be considered
A formal qualification in business administration (eg Certificate III in Business Administration) would be ideal but not essential
Enjoyment in working within a dynamic, social workplace.
Outstanding written and verbal communication skills.
Strong interpersonal skills and a friendly demeanor.
A passion for building rapport and enhancing the client experience.
Initiative to autonomously identify and complete tasks.
Ability to multitask and prioritize effectively.
Strong attention to detail and a committed work ethic.
